LIVE ACTION COORDINATOR

Position Overview

  • Assist the EP and HOP on all things live action
  • Help to streamline the bidding and production stages by keeping the live action department organized and informed as a whole
  • Be the live action “gatekeeper” for both staff and freelance team questions and requests

Responsibilities

Will include but are not limited to;

General

  • Manage Director calendars
  • Schedule calls and take notes on calls
  • Keep all freelance documents updated (proper personnel changes, correct addresses, change of year, union dates, COVID updates, etc)
  • Manage internal lists (Director’s information and travel docs, preferred crew per director, favorite stages and other job resources, service company contracts, etc)
  • Generate important reminders in both the EP and HOP’s schedules
  • Keep EP and HOP updated on important global travel and/or COVID restriction changes
  • Set up and maintain job folders both in Dropbox and Monday.com workspaces
  • Should help maintain a positive, upbeat and professional production office

Bidding & Freelance support

  • Source and hold crew and necessary vendors
  • Research assistance for project specific needs
  • Work with travel agents to get options and costs for any future travel
  • Hold Director flights and hotels
  • Schedule Start-up and wrap meetings
  • Set up line producers Psyop email/slack/zoom and any other Psyop accounts as necessary
  • Set up Slack channels
  • Set up and send wrap folders to freelance teams
  • Pre-review wrap before final wrap meeting
  • Assist freelance teams with things such as; Director travel, email signatures, location signs, shipping, hard drive delivery, etc
  • Assist in any freelance team follow up to handle any missing items or loose ends

Experience

  • Previous experience working as a set PA or Coordinator in film or tv industry
  • General knowledge of video equipment and production workflow
  • Anticipate and communicate potential issues to Producer or Supervisors, ensuring a quick resolution

Qualifications

  • Ability to prioritize conflicting tasks when needed
  • Must have excellent written and verbal communication skills
  • Solid time/project management skills
  • Highly organized and detailed
  • Must be able to work well within a team environment and take direction
