Position Overview

  • Will support Global Resource Manager and LA Scheduling lead in helping to manage artist/freelance schedules, keeping scheduling boards updated, and maintaining communications and relationships with our freelance artist database
  • Supports the east coast studio by carrying out various administrative duties including answering phones, directing calls, taking messages, receiving clients and maintaining internal phone directory
  • Will provide exemplary service to in-house clients during their work sessions
  • Needs to be flexible, extremely organized and able to work in a fast paced and dynamic environment
  • Once the studio re-opens, this position will likely need to be in the office on a daily basis


Will include but are not limited to;

Resourcing Responsibilities

  • During the first few weeks, 6-8 hours per week of intensive training in the following areas:
    • iCFM/CETA (inputting and editing bookings/pencils, artist/job searches, tracking holds, etc)
    • Hold systems
    • Freelancer email correspondence
  • General production workflow/pipeline
  • Responsible for keeping track of everyday iCFM updates, communicating with producers, EPs, and GRM daily about firming up existing pencils, maintaining freelancer holds/communications and tracking those responses
  • Will keep crew sheets up to date and input resourcing needs into iCFM, flagging any issues or conflicts with GRM
  • Will work closely with systems in assuring all artists are enabled with login information and set up with workstation/machine access and any other technological needs prior to the start of their booking

Studio Responsibilities

  • Support production requests as needed, including but not limited to; making copies and printouts, offsite runs, weekend assistance, making reservations, assisting with event coordination and execution
  • Will Maintain common areas and conference room, duties may include doing dishes, clearing/cleaning work stations, restocking supplies, taking out trash
  • Manage reservations for shared conference rooms, coordinate with scheduling department for use of edit bays and other meeting spaces
  • Maintain working inventory of perishable and non-perishable office supplies and groceries, ordering when necessary
  • Keep track of personally placed company purchases and and work with accounting to reconcile monthly
  • Will coordinate with office PA’s on daily tasks such as runs, lunch orders, project requests, client services
  • Receive or send mail, packages and courier delivers – sort as necessary


  • Minimum 1 years experience working as a Production Coordinator or Scheduler in similar industry
  • Should have experience in managing demanding schedules in a fast paced environment
  • Must have a strong aptitude to learn the 2D & 3D pipeline and process
  • Excellent communication and project management skills
  • Able to anticipate production challenges and problem solve
  • Detail oriented and highly organized


  • Highly developed knowledge of software and hardware used in every aspect of Post Production processes including but not limited to CETA, iCFM, Google Docs, etc
  • Must have excellent organization and time management abilities
  • Must be able to juggle multiple requests and tasks at one time while staying organized
  • Must be able to work well within a team environment and have strong interpersonal skills
